Campaigns

A campaign sends one outbound message — a promotion, reminder, or announcement — to a whole list of contacts on WhatsApp or SMS in a single run. The Campaigns screen lists every campaign in your organization so you can monitor sending progress, start and stop campaigns, and manage them individually or in bulk.

The two channels work differently:

  • WhatsApp campaigns send a Meta-approved message template. Because WhatsApp only allows businesses to start a conversation with a pre-approved template, every WhatsApp campaign is built on one, and Meta continuously rates each template's quality based on how recipients react to it.
  • SMS campaigns send a plain text message with no approval step, billed per message segment.

When a recipient replies, the conversation is handed to the campaign's chatbot and continues like any other chat — so a campaign is not just a broadcast, it is the opening move of a two-way conversation.

Availability

Campaigns are a plan-based feature for Administrators. If the Campaigns menu is not visible, your organization's plan does not include it — contact your account manager to enable it.

The Campaigns List

Each row shows a campaign's status, chatbot and channel, WhatsApp template (if any), daily send window, and delivery counts. The list holds every campaign in your organization; use search, the filters, and the sortable columns to find the ones you need. The Create Campaign button in the toolbar opens the campaign form — see Create a New Campaign.

Read the List Columns

Each campaign row summarises its setup and progress.

Understand Campaign Statuses

A campaign moves through statuses from creation to completion. The available row actions change with the status.

StatusMeaning
PreparingThe recipient list is still being processed. Wait for it to become Available or Scheduled.
AvailableReady to send — click Start when you want sending to begin.
ScheduledWill start automatically at the date and time shown under the badge. Scheduled campaigns can still be edited.
RunningMessages are being sent (within the daily send window).
StoppedSending was stopped manually. It can be started again at any time.
PausedSending was paused automatically — most commonly because Meta paused the campaign's WhatsApp template. The reason appears under the badge, along with either a Resume button or guidance on what will happen next.
CompleteThe campaign finished sending to all valid recipients.

Search, Filter, and Sort

Narrow the list to the campaigns you care about.

If your filters match nothing, the empty list offers a Clear filters link that resets the search and both dropdowns in one click.

Steps:

  1. Type in the Search field to match campaign or chatbot names.
  2. Select from the status dropdown to show only one status (Running, Scheduled, Available, Complete, Stopped, or Paused).
  3. Select from the channel dropdown to show only WhatsApp or only SMS campaigns.
  4. Click the Campaign Name, Created, Status, Numbers, Valid, or Sent column heading to sort; click again to reverse the order.
  5. Click the Refresh button (circular arrow) to reload the list with the latest progress counts.

Managing a Campaign

The Action column shows only the buttons that apply to the campaign's current status. Every action that changes a campaign asks for confirmation first.

View a Campaign

Open the detail view showing every recipient and their delivery status.

Steps:

  1. Click the campaign's name, or click the View Campaign icon (eye) in the Action column.

Result: The Campaign Results window opens, showing the campaign's performance dashboard and its full recipient list, which you can filter, search, export, and retarget.

Preview a WhatsApp Template

See the exact template a WhatsApp campaign sends, rendered in a phone mockup.

Note
If the template has since been removed from the chatbot, a simplified preview of the message text is shown instead.

Steps:

  1. Click the template name in the WhatsApp Template column.

Result: A preview opens showing the template's text, media, and buttons as recipients see them.

Start a Campaign

Begin (or restart) sending. Available for campaigns with status Available or Stopped.

Steps:

  1. Click the Start Campaign icon (play) in the Action column.
  2. Click Confirm in the dialog.

Result: The campaign begins sending to recipients who have not yet been messaged, within its daily send window. You can stop it at any time.

Stop a Campaign

Halt a Running campaign.

Steps:

  1. Click the Stop Campaign icon (pause) in the Action column.
  2. Click Confirm in the dialog.

Result: Sending stops and the status becomes Stopped. Starting it again continues from where it left off — recipients who already received the message are not messaged twice.

Resume a Paused Campaign

Continue a campaign that was paused automatically. The Resume button (play) only appears once the cause has cleared — for example, once Meta has re-approved a paused template.

Note
While a paused campaign cannot be resumed, the row explains what to expect: if the template is awaiting Meta re-approval or channel access is being restored, Resume appears automatically once resolved. If the account was blocked by Meta, or the sending number was removed, the campaign cannot continue — delete it and recreate it once the underlying issue is fixed.

Steps:

  1. Click the Resume Campaign icon (play) in the Action column.
  2. Click Confirm in the dialog.

Result: Sending continues with the recipients who have not yet received the message; already-sent numbers are not messaged again.

Edit a Scheduled Campaign

Change a campaign before it starts. Only campaigns with status Scheduled show the Edit icon (pencil) — once sending has begun a campaign can no longer be edited.

Steps:

  1. Click the Edit Campaign icon (pencil) in the Action column.
  2. Make your changes in the campaign form and click Save.

Delete a Campaign

Remove a campaign and all of its data. Available for every status except Running and Preparing — stop a running campaign first.

Important
Deleting a campaign permanently removes it and all associated data, including its delivery results. This cannot be undone.

Steps:

  1. Click the Delete Campaign icon (trash can) in the Action column.
  2. Click Confirm in the dialog.

Bulk Actions

Tick the checkboxes to work on several campaigns at once. As soon as one row is selected, a bulk-action bar appears above the list showing the selection count and the Start, Stop, Delete, and Compare buttons. The checkbox in the table header selects every row currently visible, so you can filter first and then select all matches. Click Clear to deselect everything.

Start, Stop, or Delete in Bulk

Apply one action to all selected campaigns that are eligible for it.

Note
The same status rules apply as for the per-row buttons: only Available or Stopped campaigns can be started, only Running campaigns can be stopped, and Running or Preparing campaigns cannot be deleted. Selected campaigns that do not qualify are simply skipped.

Steps:

  1. Select the campaigns with the row checkboxes (or the select-all checkbox in the header).
  2. Click Start, Stop, or Delete in the bulk-action bar.
  3. Review the confirmation — it states how many campaigns will be affected and how many will be skipped — then click Confirm.

Result: A summary reports how many campaigns were started, stopped, or deleted, and how many failed.

Compare Campaigns

View the delivery results of two to four campaigns side by side — useful for comparing message variants or send times.

Steps:

  1. Select between 2 and 4 campaigns — the Compare button stays disabled outside that range.
  2. Click Compare in the bulk-action bar.

Result: A comparison window opens showing each campaign's delivery and read statistics side by side.

Campaign Best Practices

Outbound messaging is regulated by law (SMS) and platform policy (WhatsApp), and both channels punish senders whose messages annoy recipients. Following these practices protects your sender reputation — and your results.

WhatsApp Best Practices

  • Only message people who opted in. Meta requires consent before a business messages a user. Collect opt-ins that say what the customer is signing up for, and only send what they agreed to receive.
  • Protect your template quality rating. Meta rates every template on how recipients react — blocks, reports, and ignored messages lower it. A template that drops to the lowest rating is paused automatically (and your campaign pauses with it); repeated pauses disable the template permanently and can reduce how many messages your number may send.
  • Keep messages short, personal, and useful. Concise, action-oriented templates with buttons or quick replies outperform long promotional text, and higher engagement improves your quality rating and reach.
  • Watch frequency. Sending too often is the fastest way to get blocked. Meta also paces and limits marketing messages to users who don't engage — performance, not volume, determines your reach.
  • Send at sensible times. Use the campaign's daily send window so messages arrive during your audience's waking and business hours.
Note

Meta has paused marketing template delivery to United States phone numbers since April 2025. Check current Meta policy before planning a WhatsApp marketing campaign to a US audience.

SMS Best Practices

  • Get explicit consent and keep a record. SMS marketing legally requires clear opt-in in most jurisdictions — consent to email does not carry over to SMS. Tell subscribers what they'll receive and roughly how often.
  • Identify yourself and make opting out easy. Include your business name in every message and honour STOP replies immediately. In the US, TCPA penalties run from $500 to $1,500 per message.
  • Respect quiet hours. US law prohibits marketing texts before 8am or after 9pm in the recipient's local time zone (some states end at 8pm). Set the campaign's daily send window accordingly.
  • Mind message length. A single SMS segment is 160 characters — or only 70 if the message contains emoji or special characters. Longer messages are split into multiple segments and billed for each, so keep the message tight.
  • Don't over-send. Two to four messages per week is the accepted ceiling for marketing SMS; fewer, higher-value messages keep opt-outs low.
