Scheduling Reports

Automate your reporting by scheduling reports to be delivered to email on a recurring basis. Scheduled reports run automatically at your chosen frequency and time, and are sent to one or more recipients as either a PDF attachment or an HTML email.

Viewing Scheduled Reports

The Scheduled Reports screen displays all of your organization's scheduled reports in a table. Each row shows the report name, delivery frequency, time and timezone, format, recipients, applied filters, status, and when the report last ran and will next run.

View the Scheduled Reports List

View all scheduled reports and their current status.

Steps:

  1. Navigate to the Reports section in the Admin menu.
  2. Click the Scheduled Reports tab.

ReportThe name of the report being sent.
FrequencyHow often the report runs (Daily, Weekly, or Monthly) with any day-specific settings.
TimeThe scheduled delivery time and timezone.
FormatWhether the report is delivered as a PDF attachment or HTML email.
RecipientsThe email addresses that receive the report.
FiltersAny filters applied to the report data (e.g., agents, business units, bots, countries).
StatusWhether the schedule is Active or Paused.
Last RunThe date and time the report was last sent.
Next RunThe date and time the report will next be sent.
ActionButtons to pause/resume, edit, or delete the schedule.
Tips
  • Click the Refresh button to reload the list with the latest data.
  • If no scheduled reports exist, the table displays a message prompting you to create one from any report using the clock icon.

Creating a Scheduled Report

Scheduled reports are created from the Reports screen. When viewing any report, you can set up a recurring schedule to have that report delivered automatically.

Schedule a Report

Set up automatic delivery of a report on a recurring basis.

Note
The report filters that are active when you create the schedule are saved with it. To change filters, edit the schedule or create a new one.

Steps:

  1. Navigate to the Reports section and open the report you want to schedule.
  2. Apply any filters you want included in the scheduled report (e.g., agent, business unit).
  3. Click the Schedule icon (clock) in the report toolbar.
  4. Configure the frequency, time, timezone, delivery format, and recipients.
  5. Click Save to create the schedule.

Result: The scheduled report appears in the Scheduled Reports list and will run automatically at the configured time.

Managing Scheduled Reports

You can pause, resume, edit, or delete any scheduled report from the Action column in the Scheduled Reports table.

Pause or Resume a Schedule

Temporarily pause a scheduled report or resume a paused one.

Steps:

  1. Find the scheduled report in the list.
  2. Click the Pause icon (pause button) to pause an active schedule, or click the Resume icon (play button) to resume a paused schedule.

Result: The status badge updates to Active or Paused accordingly. Paused schedules will not send reports until resumed.

Edit a Schedule

Change the frequency, time, format, or recipients of a scheduled report.

Warning
Changing the frequency or time will recalculate the next run date. Make sure the new schedule aligns with your reporting needs.

Steps:

  1. Find the scheduled report in the list.
  2. Click the Edit icon (pencil) in the Action column.
  3. In the Edit Schedule dialog, modify any of the following settings:
  1. Review the Next run preview at the bottom of the dialog to confirm the schedule is correct.
  2. Click Save to apply the changes.

Result: A confirmation message appears and the schedule is updated. The next run time is recalculated based on the new settings.

FrequencyChoose Daily, Weekly, or Monthly. Daily allows a Weekdays only option. Weekly lets you select specific days. Monthly lets you pick a day of the month or Last day of month.

Email addressesEnter one or more email addresses, separated by commas. Maximum 10 recipients.
Tips
  • The Report Filters section in the edit dialog shows the filters saved with the schedule (read-only). To change filters, create a new schedule from the report with the desired filters applied.
  • The next run preview updates in real time as you change settings, so you can verify the schedule before saving.

Delete a Schedule

Permanently remove a scheduled report.

Important
Deleting a scheduled report cannot be undone. If you only need to temporarily stop a report, use the Pause action instead.

Steps:

  1. Find the scheduled report in the list.
  2. Click the Delete icon (trash can) in the Action column.
  3. In the confirmation dialog, click Confirm to delete the schedule.

Result: The scheduled report is permanently removed and will no longer send.

Frequency Options

Scheduled reports support three frequency options to match your reporting needs.

Daily

The report is sent every day at the specified time. Enable Weekdays only (Mon–Fri) to skip weekends.

Weekly

Select one or more days of the week for delivery. The report is sent on each selected day at the specified time. At least one day must be selected.

Monthly

Choose a specific day of the month (1–28) or Last day of month. The report is sent once per month on the chosen day at the specified time.
