AI Writing Assistant

The AI Writing Assistant helps you write better messages by improving spelling, grammar, tone, and clarity. Use it to polish your responses before sending them to customers.

The assistant offers quick actions for common improvements, plus specialized options for sales outreach and customer support conversations. All changes are previewed before you use them, and you can undo any change if needed.

Accessing the AI Writing Assistant

There are several ways to access the AI Writing Assistant while chatting with a customer.

Open the AI Writing Assistant Dialog

Open the full AI Writing Assistant dialog with all available options.

Steps:

  1. Type your message in the chat input field.
  2. Click the AI button (sparkle icon) next to the message input.
  3. Select AI Writing Assistant from the dropdown menu.

Result: The AI Writing Assistant dialog opens with your message ready for improvement.

Use Slash Commands

Quickly apply AI improvements using keyboard shortcuts.

Steps:

  1. Type your message in the chat input field.
  2. Type / to open the slash command menu.
  3. Select an AI option from the menu:
    • AI Spelling and Grammar Check - Fix typos and grammar errors
    • AI Improve (Sales) - Optimize for sales conversations
    • AI Improve (Customer Support) - Optimize for support conversations

Result: Your message is improved directly in the chat input field.

Tips
  • Slash commands apply changes directly without opening the dialog - great for quick fixes.
  • Use the dialog when you want to try multiple improvements or see a preview first.

Quick Actions

Quick actions are basic improvements that work for any type of message. Use these to fix common issues before sending.

Fix Spelling and Grammar

Automatically correct spelling mistakes and grammar errors without changing your message's meaning.

Note
This is the safest option to use - it only fixes errors without changing how your message sounds.

Steps:

  1. In the AI Writing Assistant dialog, review your text in the text area.
  2. Click the Fix Spelling button.
  3. Wait for the AI to process your text (the sparkle icon will animate).
  4. Review the corrected text in the text area.

Result: Your message is corrected while keeping the original tone and meaning intact.

Shorten Text

Make your message more concise by removing unnecessary words while keeping the key points.

Steps:

  1. In the AI Writing Assistant dialog, review your text.
  2. Click the Shorten button.
  3. Review the shortened version.

Result: A more concise version of your message that's easier to read and scan.

Tips
  • Great for long explanations that might overwhelm the customer.
  • Check the character count to see how much shorter your message became.

Expand Text

Add more detail and context to a brief message.

Steps:

  1. In the AI Writing Assistant dialog, review your text.
  2. Click the Expand button.
  3. Review the expanded version.

Result: A more detailed message with additional context and explanation.

Tips
  • Useful when a short reply might seem curt or unhelpful.
  • Review the expanded text to ensure the added details are accurate.

Sales Improvements

These options help optimize your messages for sales conversations. Use them to increase engagement, strengthen your call-to-action, or adjust your tone for better results.

Increase Reply Rate

Rewrite your message to grab attention and encourage a response from the prospect.

Steps:

  1. In the AI Writing Assistant dialog, click Increase reply rate (green pill button).
  2. Review the rewritten message.

Result: A message optimized with a compelling hook and an engaging question that's easy to answer.

Tips
  • Best for initial outreach messages where you need to capture interest.
  • The AI keeps messages short and scannable for busy recipients.

Stronger CTA

Make your call-to-action clearer and more compelling.

Steps:

  1. Click Stronger CTA in the Sales section.
  2. Review how the call-to-action has been strengthened.

Result: A message with a crystal-clear next step and gentle urgency that motivates action.

Less Pushy

Soften aggressive language and reduce pressure in your message.

Steps:

  1. Click Less pushy in the Sales section.
  2. Review the softened message.

Result: A message that focuses on value rather than pressure, giving the recipient space to decide.

Tips
  • Use this when you're worried your message might come across as too aggressive.
  • Great for follow-up messages where you don't want to seem desperate.

Confident Close

End your message with confidence and clear next steps.

Steps:

  1. Click Confident close in the Sales section.
  2. Review the updated closing.

Result: A message that ends with assumptive language and specific next steps, removing hedging words like "maybe" or "perhaps".

Customer Support Improvements

These options help you handle support conversations more effectively. Use them to show empathy, de-escalate tense situations, or set clear expectations with customers.

De-escalate

Calm the tone and focus on resolution for upset customers.

Steps:

  1. Click De-escalate (blue pill button) in the Customer Support section.
  2. Review how the message has been softened.

Result: A calmer message that acknowledges frustration, avoids inflammatory words, and focuses on moving toward resolution.

Tips
  • Use when dealing with an angry or frustrated customer.
  • The AI removes words that could make things worse, like "actually", "but", or "policy".

Show Empathy

Show you understand and care about the customer's situation.

Note
Empathy should come before jumping to solutions - customers want to feel heard first.

Steps:

  1. Click Show empathy in the Customer Support section.
  2. Review the more empathetic message.

Result: A message that validates the customer's feelings and uses warm, human language rather than corporate speak.

Be Clearer

Simplify language and make instructions easier to follow.

Steps:

  1. Click Be clearer in the Customer Support section.
  2. Review the simplified message.

Result: A message with simpler words, shorter sentences, and step-by-step instructions that are easy to follow.

Tips
  • Great when explaining technical processes or complex policies.
  • The AI removes jargon and breaks information into logical steps.

Set Expectations

Add specific timelines and explain what happens next.

Warning
Make sure the timelines the AI suggests are realistic for your team. Edit them if needed before sending.

Steps:

  1. Click Set expectations in the Customer Support section.
  2. Review the updated message with clearer timelines.

Result: A message with specific timelines (e.g., "within 24 hours" instead of "soon") and clear explanation of next steps.

Using Your Improved Text

After improving your message, you can review it, make additional changes, or undo if you prefer the previous version.

Review and Edit

Make manual adjustments to the AI-improved text before using it.

Steps:

  1. After clicking any improvement button, review the text in the text area.
  2. Edit the text directly if you want to make changes.
  3. Check the character count at the bottom right to monitor message length.
  4. Click Use Text to insert the message into your chat.
Tips
  • You can apply multiple improvements - for example, first fix spelling, then shorten.
  • Always review AI suggestions to ensure they match your intent and are factually accurate.

Undo Changes

Revert to a previous version of your text if you don't like the AI's changes.

Note
The undo history is cleared when you close the dialog, so make sure you're happy with your text before clicking Use Text.

Steps:

  1. Click the Undo button (appears after making changes).
  2. Your text reverts to the previous version.
  3. Click Undo again to go back further (up to 5 versions).

Result: Your text is restored to how it was before the last AI improvement.

Use the Improved Text

Insert your improved message into the chat and close the dialog.

Note
Click Cancel instead if you want to discard all changes and keep your original message.

Steps:

  1. Review your final message in the text area.
  2. Click Use Text.

Result: The improved message is inserted into your chat input field, ready to send.
